School Workforce Census - Curriculum Export

For schools using Griddle, a report is available which can be imported to populate the Curriculum.

In Griddle, go to Reports | SWC Export.

The Setup tab allows schools to link all Courses in their Timetable to the appropriate School Workforce census subject.

Click on a Course and select the correct SWC Subject from the dropdown. Click Save.

Click on each Course in turn and select the correct SWC Subject from the dropdown list.

Once this has been completed, click on the Preview tab

This can be exported as a csv by clicking on the 3 dots in the right hand corner and clicking Export to csv

Once exported from Griddle, the csv can be imported into the School Workforce census by clicking on the Import from csv button. Browse to the location of the file and select the Overwrite radio button and click Import

Once the message appears to say that the import was successful, refresh the browser screen to display the imported data.

The imported data can also be exported by clicking on the export button on the right hand side of the screen

If this csv is required in an alternative format, the pivot table functionality in Excel can be used to transform the data as follows:

Open the exported csv in Excel.

If the data appears in a single column, highlight the column, then go to Data | Text to Columns | Delimited | Comma.

Highlight the full dataset and go to Insert | Table. Ensure “My table has headers” is ticked and click OK.

Click anywhere in the table, then go to Insert | PivotTable. Select New Worksheet and click OK.

In the PivotTable Fields pane:

  • Drag Staff member into Rows

  • Drag Subject into Rows (under Staff member)

  • Drag Class year group into Columns

  • Drag Hours per week into Values

Excel will automatically summarise Hours per week. Because the export is already aggregated, change the Values setting to Max so the extracted numbers are shown without being re-summed:

Click the drop-down next to Hours per week in Values | Value Field Settings | select Max | OK.

To display one row per staff member per subject:

PivotTable Tools | Design | Report Layout | Show in Tabular Form.
Then select Report Layout | Repeat All Item Labels.

The PivotTable will now show one row per staff member per subject, with year groups as columns and hours per week displayed in each year-group column.
