Academic Data Guide to Analytics and Pulse - VIC

Academic Data Tracking via Analytics & Pulse Admin Guide

Updated this week

How can I track Academic Data in Compass?

The Analytics module allows your school to keep standardised testing and assessment data in Compass, readily available for users to view and analyse. Depending on your permission level within Compass you may be able to enter results for certain types of data.

All of these results can be viewed in multiple locations within your portal, allowing staff to see student's individual results, as well as make comparative analyses by looking at the data by class, by form group, and by year level.

This data also pulls into the Pulse module, allowing you to make customised dashboards for students and cohorts based on the academic data that means the most to your school. Place this academic data alongside Chronicle and Attendance insights for a holistic view, allowing you to make data driven decisions!

Enabling the Pulse Module

If you’re not seeing ‘Pulse’ under the Grid icon within your Compass portal - each out to our friendly team via LiveChat or Phone Call to receive a Quote, Demo & Training of the module.

Permissions & Access

Ensure the relevant staff members at your school have the right permission/s below to access specific aspects of Chronicle & Pulse:

  • AnalyticsAdmin - Can see the Analytics data for cycles set to Open or Readonly, and can edit results on the Results Grid for cycles set to Open. Can also administer cycles on the Analytics page and change their statuses to Open/Readonly/Hidden.

  • AnalyticsPower - Can see the Analytics data for cycles set to Open or Readonly, and can edit results on the Results Grid for cycles set to Open.

  • AnalyticsView - Can see the Analytics data for cycles set to Open or Readonly, but cannot edit anything.

  • PulseAdmin - Gives staff the ability to build Pulse dashboards and publish dashboards. PulseStaff - Gives staff the ability to view and filter on the Pulse Analytics module

Standardised Tests

The Analytics module allows you to enter or import results for various standardised testing and assessment data, listed below. All of this data is available on Compass and can be viewed and analysed using powerful graphs and pivot tables, as well as via Pulse.

The Compass Analytics module supports the following standardised testing/assessment types:

  • ACER Progressive Achievement Test

  • ACER Adaptive

  • CARS and STARS English

  • Online Interview

  • Essential Assessment

  • Fountas and Pinnell

  • NAPLAN

  • NT Curriculum Framework ESL

  • OnDemand

  • PM Benchmark

  • PROBE

  • Rich Assessment Tasks

  • Scaffolding Numeracy in the Middle Years

  • South Australian Spelling Test

  • TORCH

  • Traffic Light Progress Reporting Measure

  • VCOP Vocational Education and Training Results

  • Victorian Curriculum

Semester Reports/Victorian Curriculum

Your Victorian Curriculum Progression Points can be exported from a Semester Report Cycle, and imported into Analytics for data analysis.

  1. Under the Pencil icon, head to Semester Reports.

  2. Click into your desired cycle. From the ‘Exports’ button, choose ‘Victorian Curriculum CASES21 (PRS212)’.

  3. Head back to the Pencil icon, and this time choose ‘Analytics’.

  4. Click ‘Add Analytics Cycle’, choose ‘Victorian Curriculum 2017’, name the cycle, and import the XML file you’ve just downloaded.

The more years/semesters you import, the more comparative/growth analysis you can achieve!

Custom CSV Imports

To import in any results that may not be standardised tests, this can be done via Custom CSV!

When creating your CSV/ spreadsheet file, ensure that Column A utilises the student’s code.

Then, head to the ‘Analytics’ module from the Pencil icon. Create a new Analytics Cycle, with the Cycle Type as ‘Custom CSV Import’ and upload your file.

Once this is imported, you’ll be able to view the results within context pages > Analytics tab, as well as creates widgets in Pulse with this data.

Viewing Analytics Cycles

Once Analytics Cycles have been imported, you can view these within Pulse through widgets, as well as via the Analytics tab within context pages (eg. class page, individual student page, year level page)

After clicking the 'Analytics' tab you will be on the Analytics Dashboard. If you are looking at the data on a student's profile you will see a graph of that student's individual results on the Dashboard.

However if you're looking at the Dashboard for a group (e.g. a class, a form or a year level) you will see the average score for the group on the graph. When viewing a Pulse dashboard with academic widgets, this will show the Analytics cycle/s that the widget itself is configured to show. You can then filter down to cohorts or individuals.

Creating Dashboards

Navigate to the Pulse module from your Grid icon.

From here, you can click the 3 bars icon from the top left toolbar to access Dashboards you’ve created, and create new ones!

Although you can create dashboards from scratch, we recommend clicking ‘Add Template Dashboard’.

Select the relevant template to utilise - in this case, any of the Academic ones would be perfect, based on the cycles you’ve imported into Analytics!

Editing Widgets

Once your Dashboard is created, it’ll populate a bunch of popular widgets for you!

However, you will want to re-configure these widgets to visualise your school’s academic data and find the information you’re looking for. In the top right of a single widget, click the 3 dots icon and ’Configure’.

From here, you can: Rename the widget Click the ‘Common Filters’ tab to update the specific Analytics cycle/s you’re wanting to visualise. These can be stacked as needed.

Publishing, Filtering & Viewing Dashboards

Once your Dashboard is all good to go, you can start filtering this down and sharing it with your team!

Publishing a Dashboard

From the 3 dots icon in the top right of the Dashboard itself, click ‘Update Configuration’, and ensure the Dashboard Visibility is set to ‘users and Contexts’. This means anyone with the ‘PulseStaff’ permission can view and filter this dashboard within Pulse, and you can publish this out to context pages.

Filtering a Dashboard within Pulse

Click the ‘Show Filters’ button in the top right of your Dashboard. From here, you have plenty of options to filter the data into the cohort/s required. These include:

  • Year Levels

  • Form Groups

  • Houses

  • Individual Students

  • Subjects

  • Custom Groups/Custom Flags

When you click ‘Save’ at the bottom of the filtering window, all your widgets will update to only show student data for the cohort/s or student/s selected.

Filtering/Viewing a Dashboard via a Context Page

To show a Pulse Dashboard on a ‘context page’ (eg. class page, student page) outside of the Pulse module, head to the Administration/Cog icon in the top left of your Pulse toolbar.

In here, you can choose dashboard/s to display on certain pages throughout Compass.

For example, you might have a Class Insights dashboard, and publish this onto your Class Page. Then, when a teacher accesses the class page to mark the roll, etc. they can navigate to the Pulse tab here to see the dashboard for only their students.
